("PickSpot", "we", "us", "our") collects, uses, shares, and otherwise processes personal data when you use our websites, applications, and services, including pickspot.net, picksend.net, agents.pickspot.world, and related products (collectively, the "Services"). This Privacy Notice applies to Users, Merchants, Agents, couriers interacting with our flows, and visitors to our sites.

Personal data we collect

We may collect the following categories of personal data depending on your role and how you use the Services:

A. Account and profile data

  • Name, username/handle, phone number, email address, profile photo (optional), language and preferences.

B. Identity and verification data (KYC/KYB)

  • Government ID information, selfie/liveness checks, date of birth, business registration details, beneficial owner and director information (where relevant), proof of premises (Agents), bank/mobile money payout details (Merchants/Agents).
  • We may use third-party verification providers to conduct these checks.

C. Transaction and operational data

  • Parcel references, scan timestamps, OTP/QR verification events ("release proofs"), pickup point selection data, dispute records, support correspondence, refunds/chargebacks information (Merchants).

D. Device and usage data

  • IP address, device identifiers, browser/app version, logs, pages viewed, crash reports, approximate location derived from IP, security audit logs.

E. Communications

  • Messages you send to us and messages we send to you (including service notifications).

How we use personal data (purposes)

We use personal data for:

  • Providing, operating, and improving the Services (including handle resolution, verification, notifications).
  • Account creation, authentication, and fraud prevention.
  • Identity verification and compliance checks (KYC/KYB), when required.
  • Processing payments, payouts, fees, reserves, and chargebacks (via payment providers).
  • Handling disputes and claims through the Resolution Centre.
  • Safety, security, audits, monitoring, and enforcing policies/agreements.
  • Customer support.
  • Legal compliance, responding to lawful requests, and protecting rights.

Sharing and disclosures

We may share personal data with:

  • Agents (limited data necessary to fulfil pickup verification and release).
  • Merchants (limited operational data necessary to fulfil dispatch and customer support).
  • Payment processors and payout partners (to process payments/payouts and manage chargebacks).
  • Identity verification providers (KYC/KYB).
  • Cloud infrastructure and communications providers (hosting, SMS, email, push notifications).
  • Professional advisers (lawyers, auditors).
  • Authorities when required by law or to protect rights/safety.

We do not sell personal data.

International transfers

We may process and store personal data in multiple countries. Where required, we implement appropriate safeguards for cross-border transfers (such as contractual protections and technical measures).

Data retention

We retain personal data for as long as necessary for:

  • Providing the Services.
  • Resolving disputes and enforcing agreements.
  • Complying with law (including tax and accounting).
  • Preventing fraud and ensuring security.

Retention periods vary by data type and role. Where feasible, we de-identify or delete data when no longer required.
